Transfer to a State Agency

If you transfer from the UW to a State of Wisconsin agency, you must take action to maintain your benefits when you start your new position.

Benefits Available at Other State Agencies

The following benefits will transfer to your new state agency position provided you submit an application to your new state agency within 30 days of your start date:

  • State Group Health Insurance
  • EPIC Benefits+
  • Dental Wisconsin*
  • VSP Vision Insurance
  • State Group Life Insurance
  • Income Continuation Insurance
  • Employee Reimbursement Account (ERA)

*Dental Wisconsin is available at some state agencies. If your new agency does not offer Dental Wisconsin, see your continuation options below.

Wisconsin Deferred Compensation 457 Program (WDC)

If you contribute to WDC, you should confirm your election amount with your new state agency to ensure deductions continue.  You must inform WDC directly about your change in employer.

Wisconsin Retirement System Account (WRS)

The WRS covers all eligible state employees. If you are eligible for the WRS at your new state agency, you do not have to take any action to maintain coverage.

Benefits Not Available at State of Wisconsin Agencies

Some benefits are only available to University employees. If enrolled in UW-only benefits, you may be able to continue or convert coverage. Contact your benefits office for continuation and conversion forms.

Dental Wisconsin

If your new agency does not carry Dental Wisconsin, coverage ends at the end of the month in which your UW employment terminates.

You may continue coverage for 18 months by submitting a continuation form to EPIC Life Insurance Company within 60 days of the coverage end date or the receipt of a continuation form, whichever is later. Contact your institution’s benefits office for a continuation form.

Individual and Family Life Insurance

Coverage ends at the end of the month in which your UW employment terminates.

You may be eligible to convert coverage to an individual policy by submitting a conversion form and first premium directly to Minnesota Life within 31 days of your coverage end date. Your benefits office must complete the Employer Section before it is submitted to Minnesota Life.

UW Employee’s Inc. Life Insurance

Coverage ends at the end of the month in which your UW employment terminates.

You may be eligible to convert coverage to an individual policy by submitting a conversion form and first premium directly to Minnesota Life within 31 days of your coverage end date. Your benefits office must complete the Employer Section before it is submitted to Minnesota Life.

University Insurance Association (UIA) Life Insurance

Coverage continues until September 30th following your termination date provided the premium is paid through that date.

You may be eligible to convert coverage to an individual policy by submitting a conversion form and first premium directly to Minnesota Life within 31 days of your coverage end date. Your benefits office must complete the Employer Section before it is submitted to Minnesota Life.

Accidental Death and Dismemberment

Coverage ends at the end of the month in which your UW employment terminates.

You may convert your coverage to an individual policy by contacting Zurich American Insurance Company at 1-800-834-1959 within 60 days of your coverage end date. (Reference UW System Policy # GTU-8364005.)

Tax-Sheltered Annuity 403(b) Program

Contributions will end automatically on your last paycheck. Contact your investment company(s) for information about your account and distribution options.

Paid Leave

Your sick leave balance will transfer to your new State agency.

Typically, vacation, personal holiday, and sabbatical/ALRA hours will transfer. In the event that your hours do not transfer, they will be paid out to you by your institution.

Classified project employees who never attained permanent status may only transfer personal holiday hours.  Any unused earned vacation hours will be paid out and sick leave hours will be lost.
